Five Reasons Your Last QuickBooks to Xero Conversion Failed (and How to Fix It)
Five reasons a QuickBooks to Xero conversion fails, from unmapped accounts to opening balances that don't tie out, and h...
Xero has no button that ingests a QuickBooks Desktop file. Here is what actually imports, what the free tool covers, and what firms need for a full conversion.
A client asks you to move them to Xero. You assume there is an import button somewhere in Xero that takes their QuickBooks file and loads it. There is not, at least not in the way the question implies. This matters because the gap between what firms expect and what actually happens is where conversions go sideways.
Quick answer: No, Xero cannot import a QuickBooks Desktop file directly. There is no feature in Xero where you upload a .QBW file and get a finished organisation. Xero routes a QuickBooks conversion through its partner Jet Convert, which transfers the chart of accounts, contacts, and historical transactions for your current and prior fiscal year for free. Payroll does not come across, extra history costs more, and complex files often need a managed conversion.
The word import does a lot of hidden work. People picture a file going in one end and a complete, balanced set of books coming out the other. What Xero offers is narrower. For QuickBooks Online, a conversion can run through an API connection. For QuickBooks Desktop, the data lives in a .QBW company file, and Xero has no native tool that reads that file and builds your organisation from it.
Instead, Xero points you to a conversion. On its own convert-from-QuickBooks page, Xero names Jet Convert as the partner that does the work. So the honest answer to can Xero import QuickBooks data is: Xero facilitates a conversion through a partner, it does not import the file itself.
Xero's free offer, delivered through Jet Convert, is real and useful on the right file. Here is what it includes and where it stops, pulled from Xero's own page.
| What you get | The detail |
|---|---|
| Records transferred | Chart of accounts, customer and supplier contacts, and historical transactions such as invoices and bills |
| History included free | Your current and prior fiscal year |
| Extra history | May require an additional fee to migrate more than two years |
| Timing | From 20 minutes to five business days |
| Payroll | Does not migrate; employees must be set up in Xero directly |
| Fresh-start option | No historical data moves; you enter opening balances from your most recent tax return |
Two lines in that table are the ones that trip up firms. The first is the two-year history limit. Most businesses you convert will want more than the current and prior year, and the moment you go past that, the free path has a cost and a ceiling. The second is payroll. It does not come across under any method, free or paid, so plan for it.
Some data does not transfer in a QuickBooks to Xero conversion regardless of the tool. Setting the expectation up front saves a support conversation later.
None of these are failures. They are how the two platforms differ. A good conversion tells you about them before go-live, not after.
There is a second path firms discover: Xero's Conversion Toolbox, which imports data from CSV files. It can bring in more history than the free two-year window, and for a determined bookkeeper it is a real option. Xero's own guidance notes that for several years of data or more than 6,000 items, you should contact Xero rather than go it alone. The practical ceiling is effort. Building and checking CSV imports for a decade of transactions across a client portfolio is slow, manual work, and every manual step is a place for an error to enter.
So Xero does not import a QuickBooks Desktop file directly, the free path covers two years and no payroll, and the CSV route runs out of road on large or complex files. For a single simple client, the free tool is often the right call. For a firm converting files where the books have to tie out and a redo is not an option, a managed conversion fills the gap.
WOW BookSwitch converts a QuickBooks Desktop file for $399 USD, covering the current fiscal year plus three prior years, with additional history at $100 per year per file up to ten years. The conversion maps the chart of accounts, moves 22 data types including multi-currency transactions, inventory assemblies, and classes, and validates the result against the trial balance, balance sheet, and profit and loss. AI does the first pass, a trained accountant reviews it and applies correcting entries, and the file arrives balanced in one to three business days. It is a quality-check process rather than an audit, so it carries no formal assurance, but a person confirms the numbers agree before you see them.
The difference from the free path is not speed. It is the history ceiling, the complexity it handles, and the validation evidence that comes with the file.
Not directly, and not the way most people assume. Xero enables a conversion through Jet Convert, free for two years of a straightforward file with no payroll. For more history, multi-currency, inventory, or a portfolio you cannot afford to redo, the work moves to a managed conversion. Knowing which path a given client needs before you start is the whole game.
Send the file. WOW BookSwitch will tell you whether it is a clean candidate for a free tool or a file that needs a validated QuickBooks Desktop to Xero conversion. Either way you get an honest answer before you upload anything to a client's live books. Get a quote.
